Protect Yourself: The Essential Guide to Choosing a Safe, Professional Photographer

When it comes to capturing your family’s most precious moments, the stakes are high. Yes, that sounds dramatic, but when you consider some of the points I will cover today, you really shouldn't take booking just anyone, lightly. Whether it’s a newborn session, maternity shoot, family portraits, weddings, you name it, you want to know your memories—and your loved ones—are in safe, experienced hands. As a professional photographer in Kempsey, I believe protecting yourself should always come first, no matter whom you choose for your session.

Below, I’ll walk you through the must-ask questions, the non-negotiables, and the red flags to watch for—so you can feel confident, safe, and supported from start to finish.

Why Safety and Professionalism Matter (Even If You Don’t Choose Me)

Let’s be real: not all photographers bring the same level of safety, training, or professionalism to their sessions. While price is often the first thing people compare, the true value of a photographer goes far beyond a dollar figure. Your choice impacts not just the quality of your images, but your safety, peace of mind, and the long-term security of your memories.

Even if you don’t choose me, these are must-do things to consider with any photographer:

The Non-Negotiables: What Every Client Should Demand

1. A Signed Contract—Every Time

I will never enter a session without a signed contract in place. This isn’t just for my protection—it’s for yours. A contract sets clear expectations, defines what’s included, outlines cancellation and rescheduling policies, and ensures both parties are protected if something unexpected occurs. Always read the fine print and ask questions before signing. A quick Google search and you can see the horror stories for yourself.

2. Comprehensive Insurance

Thankfully, I’ve never had to access my insurance, but I will NEVER shoot a session without it. Insurance protects you in case of accidents, property damage, or even the rare event of lost images due to gear failure. If a photographer can’t provide proof of insurance, that’s a major red flag.

3. Long-Term Gallery Storage—Final Edits Only

Always ask the question; what would happen if... Does your photographer hold onto your images? For how long? While my business is operating, I keep your final, fully edited gallery safe and accessible. That means if you ever lose your images or need another copy, I can resend them to you—even years down the track. However, as outlined in your contract, the original RAW, unedited image files are only kept for a set period of time (typically a few weeks after your gallery is delivered). After this period, those RAW files are permanently deleted.

4. Safe Practices, Hygiene protocols and Ongoing Training

Especially for newborn and family sessions, safety and hygiene is everything. I’m trained in baby airway safety and use only safe, gentle posing techniques—never forcing a pose, always respecting your child’s comfort and cues. If you or your photographer is unwell, do you know what the plan is? Is your photographer expecting to catch up with you even if either party have a bug? Make sure your expectations and boundaries are clear and your photographer respects this!

5. Transparent Communication and Clear FAQs

You deserve quick, clear answers to all your questions. I provide, open communication throughout your journey, and a client-first approach from inquiry to gallery delivery. Does your photographer promise the same?

Make Sure Health is a Priority for Your Photographer

In today’s world—especially post-COVID—health and hygiene should be at the top of your photographer’s priority list, particularly when young children and babies are involved. No one has time to be sick, and you deserve to know that your photographer is doing everything possible to keep your family safe. Don’t hesitate to ask what hygiene practices your photographer follows: Do they regularly wash and sanitize their hands? Are props and surfaces disinfected between sessions? What is their policy if they or a client are unwell? These questions matter, and a professional will always be transparent about their protocols and rescheduling policies. Prioritising health not only protects your loved ones, but also ensures you’ll have a relaxed, enjoyable experience—without the worry of illness disrupting your special memories.

Why I Take Image Safety So Seriously: My Hard-Learned Lesson

If you ask any professional photographer what their worst nightmare is, most will say the same thing: losing precious client photos. I know this feeling all too well—and it’s an experience that still gives me anxiety to this day.

Early in my photography journey, I had the honour of capturing a close friend’s engagement party. It was a beautiful, joy-filled day, and I was so excited to deliver their memories. But when I went to process the images, my heart dropped: a significant portion of the photos were simply gone. A memory card failure, completely out of my control, had wiped out irreplaceable moments. I can’t describe the sinking feeling, the embarrassment, and the heartbreak—not just for myself, but for our friends who had trusted me with their once-in-a-lifetime event.

That experience changed me forever.

What I Do Differently Now

Because of that loss, I’ve made image safety one of my absolute top priorities. Here’s what I do—every single session, without exception—to make sure it NEVER happens again:

Top-Tier, Regularly Serviced Gear: I only use professional-grade cameras and memory cards, and I have my equipment serviced regularly to catch any issues before they can cause problems.

Dual Memory Card Slots: My cameras write every image to two cards at once. If one card fails, the other is there immediately as a backup.

Immediate Action on Card Issues: At the first sign of trouble, that memory card is swapped out (if during a session) and ultimately binned after the session is backed up—no second chances. I always have fresh, high-quality SD and CF cards on hand.

Card Rotation for Long Sessions: For longer events like weddings or events (even though these aren't common for me anymore!), I rotate through multiple cards. That way, even in the unthinkable event of a card failure, only a small portion of the day would be affected—not the entire session.

Secure Backups: As soon as I return to my studio, your images are backed up in multiple locations—on-site and off-site—so they’re safe from theft, fire, or hardware failure.

Professional Insurance: I am fully insured, not just for equipment but for image loss and client protection. While I hope never to need it, it’s there to give you peace of mind.

Data Recovery Contacts: I have established relationships with professional data recovery experts, so if something ever does go wrong, I have immediate help on hand.

Clear Client Communication: My contract and FAQs outline exactly what I do to protect your memories, and I’m always transparent with clients about my processes.

The Weight of Experience

Losing those photos was, without a doubt, the worst professional experience I’ve ever had. It’s something I still think about, and it fuels my determination to treat every client’s memories with the utmost care and respect. I never want anyone to go through what I (and my friends) did.

Your moments are priceless, and I promise to protect them with everything I’ve learned. Can your chosen photographer say the same? If not, why?

Important things to consider: Protect Yourself Before You Book

  • Would I feel comfortable if my photographer couldn’t show proof of insurance or a contract?
  • What would I do if my images were lost—does my photographer have a backup plan?
  • How important is it to me that my children are kept safe and comfortable throughout the session?
  • What safety protocols are non-negotiable to ensure the well-being of my family?
  • Do I know what happens if I need to reschedule or cancel?
  • How would I feel if I lost my gallery a year from now—can my photographer retrieve it for me?
  • What do past clients say about this photographer’s service, safety, and results?

Casey's Most Frequently Asked Questions

Are you insured?

Yes, I maintain comprehensive insurance for every session—including coverage for equipment failure, client safety, and image loss. I never shoot without it.

Do you have a contract?

Absolutely. Every client receives a clear, detailed contract outlining what’s included, timelines, cancellation policies, and your rights. No session proceeds without a signed contract.

How long do you keep my gallery?

As long as my business is operating, your gallery is safe with me. If you ever need your images again, just reach out!

What happens if your camera fails or photos are lost?

I use professional cameras with dual memory cards and follow strict digital backup protocols. In the rare event of a total loss, my insurance and contract outline the next steps and client protections.

What training do you have for newborn and family photography?

I’m trained in baby airway safety, safe posing, and always prioritise your child’s comfort and wellbeing. My up-to-date certifications and training can be found at the link below.

How do you handle rescheduling or cancellations?

My contract includes a transparent policy for rescheduling due to illness, weather, or emergencies. I always aim to be flexible and fair.

🚩 RED FLAGS TO BE AWARE OF 🚩

🚩 No written contract or reluctance to provide one

🚩 Unable or unwilling to show proof of insurance

🚩 No clear policy on illness, hygiene practices or safety protocols.

🚩 Uses only one memory card per camera (no redundancy)

🚩 No mention of safety training, especially for newborn or family sessions

🚩 Hesitation or vague answers when asked about backup plans for lost images

🚩 No testimonials or very few client reviews available

🚩 Galleries or images are deleted shortly after delivery, with no long-term storage option

🚩 Unclear or inconsistent communication before booking

🚩 No clear cancellation or rescheduling policy

🚩 Overly cheap pricing that seems “too good to be true”

🚩 No professional affiliations, certifications, or evidence of ongoing training

Additional Points to Consider

  • Copyright & Image Use: Make sure you understand who owns the images and how they can be used. It is common for photographers to retain copyright.
  • Local Expertise: Does your photographer know the area well? Do they know the local restrictions that apply on location?
  • Awards & Certifications: Always ask about any industry recognition or ongoing education your photographer is engaging in—these show commitment to quality, professionalism and upskilling.
  • Client Experience: Beyond the photos, your overall experience matters. Look for someone who makes you feel valued, comfortable, and heard.
